Rental of Auditorium & Facilities

Terms & Conditions

1.) Basic Rental of the Nexus Auditorium includes sound and lighting system, projector, 2 microphones and any necessary electrical gadgets and cables required to support the equipment provided under the basic rental agreement. A reception table and 2 foldable metal chairs are included at no extra charge. Additional furniture and equipment required must be made known at the time of booking. A nominal fee will be levied for the additional equipment and furniture.

 

2.) Clients may bring in their own equipment including electrical gadgets such as cables, proprietary computer converter, extension cords, etc provided this is discussed and agreed by our staff during the initial stage of booking. The additional client’s equipment must be compatible with the Owner’s existing equipment and be marked clearly as belonging to the Client. The Owner shall not be responsible for the damage or lost of such equipment and accessories, including the smooth operation of these equipment during the event.

 

3.) All costs quoted are subject to the prevailing GST charges.

 

4.) All bookings are subject to space availability.

 

5.) Clients may place a soft booking for a desired time and slot (depending on availability). The soft booking will be valid for seven (7) days. Thereupon, the slot will be made available to other clients if no confirmation or deposit is received within the seven (7) days.

 

6.) A non-refundable deposit, equivalent to 30% of the total rental charges is required to confirm the booking.  If no deposit is received, the booking will be deemed as ‘a soft booking status’ (refer to Item 5 for details on ‘Soft Booking’). The balance 70% payment must reach us at least seven (7) working days before event day. Client may also select to make full payment in order to confirm and secure their booking. 

 

7.) Payment – Payment may be made by cheque to 'Ne-Xus Global (Private) Ltd'. Alternatively, a funds transfer may be made to the following account:

8.) Ne-Xus Global (Private) Ltd reserves the right to cancel the booking if full payment is not received seven (7) working days before the commencement of the event.

 

9.) Cancellation by Client – If a confirmed booking is cancelled, the 30% deposit paid shall be forfeited. Any additional payment made (over and above the 30% deposit) will be refunded if seven (7) working days minimum notice is given. If the notice is less than seven (7) working days, the entire amount (including the 30% deposit) paid will be forfeited.

 

10.) If a booking date is less than 30 days from the actual event date, full payment must be made to confirm the booking. If full payment is not received within the stipulated time stated on the invoice, the Owner reserves the right to cancel the booking in order to open the slot to other clients.

 

11.) Cancellation by Owner – In the event a confirmed booking has to be cancelled due to unforeseen circumstances through no fault of the Owner, all payments including the 30% deposit paid shall be refunded to the Client. Unforeseen circumstances would include war, flood, terrorist attack, etc

 

12.) Postponement of Event – Postponement of a confirmed rental booking is allowed ONCE at no penalty for up to thirty (30) days after the initial commencement of the Rental Period subject to venue availability.

 

13.) Change of Venue – On a case to case basis, the client may be allowed a change of venue (to another venue within our facility) after confirmation of booking. Change of venue will be allowed subject to availability of the venue. However, there will not be any refund of excess monies paid if the cost of renting the new venue is less than the amount paid prior to the event.

 

14.) Amendments to invoice issued will not be allowed. Any changes must be discussed and done during the quotation stage and before an invoice is issued.

 

15.) At least one Nexus technician must be hired throughout the duration of the event. Depending on the type of set up and program, more than one technician may be required at the recommendation of our technical & facilities executive. The cost of the additional technician will be charged to the client.

 

16.) All equipment provided within the facilities is to be handled by our own in-house technician. Unless otherwise notified and agreed, no external parties are allowed to operate our equipment. Should the equipment breakdown or malfunction while external parties are handling them, the client shall pay for all repair or replacement costs incurred.

 

17.) While the Owner seeks to ensure the smooth flow of the program during each event and the functioning of all equipment provided through regular checks and servicing, certain unforeseeable situations which are beyond the control of the Owner may arise. Ne-Xus Global (Private) Ltd will not be liable for any loss due to these unforeseeable breakdown of machinery, electrical failure, or fire that may temporarily interfere with the smooth running or continuation of the event.

 

18.) Food & External Catering – No food or drink is allowed inside the rented Venue. All food and drinks are to be consumed outside the facilities. Food stations are to be located and arranged in designated positions as directed by the Owner. The Owner reserves the right to remove any food stations that are not set up according to the Owner’s instructions. An external catering cleaning charge of $200 (before GST) will be levied if food and refreshment are catered for the event. Should spillage and damage occur and the Owner incur more than the $200 (before GST) levied in making good any damage or spillage of food and drinks during the event, the Client shall pay for all additional costs incurred by the Owner. The client shall liaise with their caterer to provide adequate and suitable rubbish bags and dispose them at the end of the event in the bin center located on the first floor of Cuppage Plaza. All catering items and furniture must be cleared within 1 hour after the event and should not be left overnight. Items not cleared after the stipulated time will be cleared and disposed by Cuppage Plaza’s building management. The cost of clearing and disposal shall be borne by the Client. Ne-Xus Global (Private) Ltd will not be held responsible for cost of disposal or loss of these items.

 

19.) Cleanliness of the facility - The facility should be in a reasonable state of cleanliness after the event. Certain types of confetti are not permitted due to cleanliness and cleaning issues. Client must discuss with the Owner and obtain approval if he plans to use confetti during the event. Owner reserves the right to implement professional cleaning charges if necessary. Such professional cleaning charges will be billed to the Client.

 

20.) Damage to Property – The Client (including persons attending the Client’s function) shall be responsible for any damage (including accidental damage) done to the rented facility, furniture, fittings, equipment, etc. Any costs incurred by the Owner for repair or replacement of the damaged facility, furniture and equipment shall be borne by the Client.

 

21.) Rearrangement of existing furniture – No client is to rearrange the existing furniture without prior approval from the Owner. Client may discuss with the Owner regarding his requirement to shift any existing furniture at least 3 days before event date. Any request is subject to Owner’s approval. If the client alters the existing layout without prior approval, he shall reinstate all items to their original state and location. Ne-Xus Global (Private) Ltd reserves the right to levy charges for damage, cleaning or unauthorised shifting and use of items that are not part of the contract.

 

22.) Safety and Fire Regulations - The Nexus auditorium has a seating capacity of 599 pax. All fire escape routes including aisle and corridors are to be clear throughout the event. In compliance with the fire safety regulations, guests are not allowed to sit or stand along the aisle or steps as this will block the exits from the auditorium.  Owner reserves the right to stop the commencement or progress of the event if this is not complied. No lighted open flame or smoking is allowed inside the facilities. Ne-Xus Global (Private) Ltd shall not be held responsible for any non-compliance of government regulations and any unforeseen circumstances due to the client’s non-compliance of this regulation.

 

23.) Vacating the Premises – The Client and his guests participating in their event must vacate the rented Venue and the designated rooms / area at the stipulated time indicated in the Agreement. The Owner reserves the right to expel or refuse entry to any guest who creates a public nuisance or whose behaviour tarnishes the reputation of Ne-Xus Global (Private) Ltd or who may be deemed detrimental to the safety of the guests.

 

24.) Ne-Xus Global (Private) Ltd gives no warranty that the facility is legally or physically fit for any specific purpose or type of event.

 

25.) Indemnity – The Client shall indemnify Ne-Xus Global (Private) Ltd against all claims, suits, liabilities, damages, and expenses that may arise during and immediately following the Client’s events including, injury to persons, legal costs (full indemnity), all third party claims and all claims from any employee or agent of the Client.

 

26.) Permits from the relevant government authorities must be obtained by the client if the program requires such permits in our premises. A copy of the government approval must be given to the Owner before the commencement of the event failing which the Owner has the right to discontinue the progress of the event. Any fees paid will be forfeited. Clients must bear in mind the multi-racial and multi-cultural society of Singapore. Any language used must conform to government guidelines for the peaceful co-existence of a multi-racial, multi-cultural and multi-religious society. Ne-Xus Global (Private) Ltd shall not be held liable for any infringement or non-compliance of government regulations.

 

27.) The Management reserves the right to amend any terms and conditions including pricing without prior notice.
